Your own FileMaker database... With Images
ExampleThe FileMaker database layout shown here is a simple example of how to use your database with DocKeep software from Acordex. In this example, you have a database that manages data about your customers. You need to attach several types of Customer Files to this record. A simple button, labeled "Modify Scanned Document", will scan and attach document images to this data record. Similarly, the "View Scanned Document" button will retrieve the document when needed. Acordex provides free FileMaker scripts that perform these functions. Here's a typical sequence: A user has just created a record, shown above, for a customer. The user would now like to attach the customer Contract to this record. "Contacts" is selected from the FileMaker pull-down menu and the user clicks the "Modify scanned image" button (click the image to see the DocKeep scanner control). Clicking DocKeep's "Scan" button and placing the document in the scanner captures and attached this document to the customer record. Later, when a user needs to find this customer Contract, all she has to do is click the "View" button, and the document appears on screen in Apple's Preview application. These functions are performed by DocKeep under your control from your FileMaker database. Will the Images Be In My Data Tables?No. FileMaker includes fields called "Containers" that let you attach an image to a record in your database. This is designed for applications where you need to save a picture or a drawing with each record. And it works well for this purpose. It is not designed for imbedding hundreds of pages of images in each record. To store a large number of documents, a much better and faster architecture is to have each FileMaker data record point to the documents, which are stored as image files separate from the database file. The database remains smaller, more responsive and easier to backup. Your image files can be seen using Finder, and can also be backed up independently.
